Wedding Policies

Your Wedding At Butterfly Hollow Bed & Breakfast
This is a private residence and our home which we open up and share with guests. We take pride in the state of which we maintain our property.  We expect consideration and reasonable courtesy to such while at Butterfly Hollow. To ensure a most wonderful occasion for all we have policies and guidelines in place for your event and to protect our privacy and home.

 

Visiting Our Site:   All site visits are by appointment only or lodging confirmations.

 

Deposit: A 50% deposit is requested to confirm your wedding reservation. This can either be by Visa, MasterCard, American Express, Discover, PayPal or check. If you prefer to use a check to confirm your reservation, we do request that you mail the deposit within 3 days after making the reservation. The balance for all wedding packages will be due in full 45 days prior to your arrival date. Until the deposit is received all date reservations are considered tentative. Prices are subject to change without notice until a signed agreement is submitted and/or confirmation is sent.

 

Smoking: is NOT permitted on the grounds of Butterfly Hollow which is to include smokeless tobacco products. Smoking in cars or any outside area of Butterfly Hollow will result in an additional fee of $250. We ask you make this policy known to all your guests.

 

Alcohol: Wine, beer & champagne may be served at your event. Individuals must be 21 years of age and drinking must be in moderation. Butterfly Hollow reserves the right to reduce the amount of alcohol being brought on property to ensure the safety of all its guests. Butterfly Hollow also reserves the right not to perform the wedding ceremony if any member of the bridal party is intoxicated prior to or during the ceremony.

 

Cancellation Policy: We certainly understand how “life happens” sometimes and that it might be necessary to change dates or cancel an event. Due to the small nature of our business and that most weddings are reserved many months in advance, we have the following cancellation policy:

Change date: If you request to change your event date after your deposit is received, a $100 administrative fee will be charged. Additional date changes will result in forfeiture of deposit and require a new wedding package be purchased.

 

More than six months: If you cancel your event more than 180 days prior to your scheduled date of the event, your payments are refundable except for a $250 cancellation fee and any credit card fees.

 

Within six months: If you cancel within 180 days of your event date, your deposit is non-refundable.

 

Within sixty days: If the contracted date is cancelled within 59 days of the event, the entire payment of your package is forfeited.

Butterfly Hollow reserves the right to cancel a reservation due to an emergency or natural disaster. In such a rare event, you will be contacted via phone with as much notice as possible and a full refund will be provided. DEALK, LLC will not be held liable for any other event related cancellation fees.

 

Maximum Guest Count: Our maximum capacity of 30 guests or less has been established for reasons of safety, health, liability, wear and noise level.  All guests ages 2 and above are considered in the guest count. Exceptions to the maximum guest count will be reviewed on an event by event basis.

 

Catering:  Butterfly Hollow’s preferred catering company must be utilized. Final guest count is due 30 days in advance of your event.

 

Ceremonies: All ceremonies must begin no later than 4:30pm. If your ceremony is delayed more than 20 minutes due to guest(s) or wedding party arriving late, time allowance is not extended.  We encourage all to arrive promptly to ensure your ceremony starts on time and not delayed.

 

Substitutions: We understand each couple is unique so we are flexible with some services. Our all-inclusive wedding packages do not give a credit for providing your own officiant, changes made within 60 days of your wedding, or lower guest count allotments.

 

Guest Policies: We are unable to accommodate guests on the grounds or in guest rooms prior to your schedule event time.  For the purpose of setting up/decorating for your event, we understand a few individuals will arrive prior to assist. We ask that you keep this to no more than four people. The B&B is 125+ years old and cannot accommodate large amounts of people for an extended period of time.

 

We ask that your guests arrive no earlier than 30 minutes before ceremony time.  Guests who arrive early will be asked to return at the appropriate time. Guests must come dressed for your ceremony unless you have made accommodations for them as overnight guests in one of our guest rooms. Changing rooms will not be provided. We ask that this is communicated to avoid additional guest room fees.

 

All guests must be off premises at event conclusion.  At no time is the Inn, its porch, or surrounding area to be used as a reception area without prior written approval by the Innkeeper. Appetizer and/or dinner receptions are held in the barn. All receptions are to conclude by 8:00.pm to include clean up and departure of guests.

 

Children: Children must be supervised at all time. Unattended children will not be allowed and can be very disruptive to the flow of your event.   We do not provide child supervision so please be sure your guests understand our child policy.  Children ages 2 years and above are considered in your guest count.

 

Pets: We are pet lovers but we cannot accommodate guest’s pets in the venue.

 

Miscellaneous: No confetti, silly spray or glitter. Plastic cups will be used in place of glass except for champagne toast.

 

 ****We remind all guests this is our home and private residence as well as our business. We LOVE what we do and are very grateful to be part of so many wonderful folk’s special day.  Because we take great pride in what we do and expend great effort to ensure a flawless occasion, our services are greatly requested.   We feel blessed but do put in many hours a day, especially during peak visitor season. Please show courtesy by respecting our time frames as well as having an appointment for visiting our site. We have the right to refuse service to anyone. We promote our services without regard to race, color, gender, sexual orientations or national origin.   Guests are responsible for knowing all policies and guidelines .Any person displaying destructive, belligerent, or unsafe behavior will be escorted off property.
